Zoom Integration Guide

This guide explains how to add, use, and remove the Lumus Zoom integration. Lumus is a product of Digitaro Private Limited (Singapore). For help: labs@digitaro.co · Support.

Configure URL (after authorization): https://app.getlumus.co/dashboard/settings (Zoom Config tab — school admin).

1. What the integration does

When connected, Lumus can:

  • Create and manage Zoom meetings for classes and modules
  • Sync attendance from Zoom meeting participant events
  • Import Zoom cloud recordings into course modules (when configured)
  • Optionally embed or join sessions via Zoom Meeting SDK where enabled

Cloud recording features require a Zoom Pro plan (or higher) with cloud recording enabled on the host account.

2. Prerequisites

  • A Lumus school/tenant with admin access
  • A Zoom account with permission to create a Zoom Marketplace app (or use your org's approved app)
  • Ability to configure OAuth redirect URLs and event subscriptions in Zoom

3. Adding the Zoom app (school admin)

Step 1 — Open Lumus Zoom settings

  1. Sign in to Lumus as a school administrator
  2. Go to Dashboard → Settings and open the Zoom Config tab (or open app.getlumus.co/dashboard/settings)

Step 2 — Create a Zoom OAuth app

  1. Open the Zoom App Marketplace and sign in as a Zoom admin
  2. Go to Develop → Build App
  3. Choose a General App (user-managed OAuth)
  4. Enable OAuth and add the Redirect URL shown in Lumus Zoom settings
  5. Under Scopes, add at least:
    • meeting:write:meeting — create meetings
    • meeting:read:meeting — view meeting details
    • meeting:read:list_past_participants — attendance sync
    • cloud_recording:read:list_recording_files — lecture import
    • user:read:user — identify the connected user
  6. Copy the Client ID and Client Secret into Lumus and save

Step 3 — Configure webhooks (attendance + recordings)

  1. In your Zoom app, open Feature → Event Subscriptions
  2. Enable event subscriptions and set the Event notification endpoint URL to the webhook URL shown in Lumus
  3. Subscribe to:
    • recording.completed — import lecture videos
    • meeting.ended, meeting.participant_joined, meeting.participant_left — attendance sync
  4. Copy the Zoom Secret Token into Zoom webhook secret in Lumus and save

Step 4 — Recording import preferences

  1. Enable Automatically import recordings if desired
  2. Choose a default destination: Lumus storage, Zoom cloud link, or Spotlightr (if configured)
  3. Set auto-record for new Zoom classes to Cloud recording when you want sessions created from Lumus to record automatically
  4. Save changes

4. Using Zoom in Lumus (teachers)

  1. Go to Dashboard → Zoom (or create a Zoom class from a module)
  2. Click Connect Zoom and approve the OAuth prompt
  3. Schedule or start meetings from the class / Zoom pages
  4. After meetings end, attendance events sync via webhooks; cloud recordings appear in Lumus within a few minutes when import is enabled
  5. Teachers may override the school's recording destination per class or module where that option is available

If scopes change after a teacher connected, they must reconnect Zoom so Lumus can use the new permissions (e.g., reading cloud recordings).

5. Managing the integration after authorization

  • School configuration: Dashboard → Settings → Zoom Config
  • Teacher connection status: Dashboard → Zoom
  • Update Client ID/Secret, webhook secret, and recording defaults anytime from Zoom Config

6. Removing / disconnecting the Zoom app

Disconnect a teacher account

  1. Sign in to Lumus as that teacher
  2. Open Dashboard → Zoom
  3. Choose Disconnect (or equivalent) to remove Lumus's OAuth tokens for that user

Revoke the app in Zoom

  1. Sign in to Zoom → Account / user settings → installed or authorized apps (wording varies by Zoom UI)
  2. Find the Lumus / your OAuth app and remove or revoke access

Disable school-level integration

  1. Admin: open Settings → Zoom Config
  2. Clear or rotate Client Secret / webhook secret as needed
  3. Optionally disable auto-import and auto-recording so no new Zoom data flows into Lumus
  4. In Zoom Marketplace, unpublish or delete the app if it should no longer be used

After disconnect/revoke, Lumus will no longer call Zoom APIs for that user or app. Previously imported recordings stored in Lumus remain as Customer Content until deleted under your retention policy — see Data Retention & Protection.

7. Data & privacy

Zoom-related personal data (profile identifiers, meeting metadata, attendance events, recording metadata/files) is processed as described in our Privacy Policy. We do not sell this data. Security controls are summarized in the Security Policy.
